The Confidential Collaboration Charter: Safeguarding Your Company's Sensitive Data

Prepared by: Christian Vernaschi

Company: From Ideas To Impact

Date: 15 March 2025

I. Why This Matters

Great ideas need safe spaces. When you engage in strategy, facilitation, or innovation sessions with me, you’re often sharing the inner workings of your team. Sensitive goals, cultural dynamics, early-stage thinking; this is your creative core. And it deserves to be protected.

II. Our Principles

  • Privacy-first by design — Our collaboration frameworks are built to protect, not extract.
  • People over platforms — We choose tools that put your control and security first.
  • No disclosure, ever — What happens in the room stays in the room. Always.

III. What We Collect, And Why

We collect only what’s essential to deliver value:

  • Basic contact information (for communication & invoicing)
  • Workshop responses or anonymized insights (never published with identifiable details)
  • Website analytics (privacy-compliant and cookie-light)

IV. How We Work With Data

  • Data is encrypted in tools that meet EU/US privacy standards (e.g., Notion, Miro, Google Drive)
  • We use secure session tools like Miro/Zoom — with privacy settings maximized
  • No workshop recordings or summaries are shared outside the facilitation context

V. Respecting Neurodiverse Needs

All participants deserve to feel safe and engaged. We create accessible spaces by:

  • Offering multiple modes of input (verbal, visual, written)
  • Including sensory-friendly formats when needed
  • Respecting communication styles without pressure or expectation

VI. The Tools We Use

We select platforms based on their ethics, not just convenience. Our tech stack is reviewed every quarter to ensure it meets the highest standard of confidentiality and usability.

VII. Consent, Trust & Clarity

We do not assume consent. Every data capture (from whiteboard snapshots to follow-up reports) is disclosed, requested, and handled with full transparency.

VIII. If Something Goes Wrong

In case of an incident, our response is immediate. You’ll be notified, informed of risks, and supported in taking any necessary actions.

IX. Looking Ahead

  • Quarterly privacy tool audits
  • Feedback surveys on session experience & safety
  • Exploring open-source, decentralized tech when feasible
